Bin There, Tote That! (“we,” “us,” “our”) rents reusable moving totes and moving supplies across the Portland, Oregon and Vancouver, Washington metro areas. This Privacy Policy explains what information we collect through our website at bintheretotethat.rent, by phone, by text, and in the course of renting to you, how we use it, who we share it with, and what choices you have.
If anything here is unclear, or you want to know what we have on file for you, just ask. Our contact details are at the bottom.
The short version
- We collect what you give us when you request a quote or book a rental, plus basic technical information about how you use our site.
- We use it to answer you, quote you, deliver and pick up your totes, take payment, and occasionally market our services.
- We do not sell your information for money.
- We do use analytics and advertising tools that share website activity with Google and other advertising platforms. Under California and Oregon law, that counts as “sharing” or “targeted advertising,” and you can opt out. See Your advertising choices.
- Phone numbers and consent collected for text messaging are never shared with anyone for marketing.
1. Information we collect
Information you give us
When you request a quote, book a rental, call, text, or email us, we collect:
- Contact details: your name, phone number, and email address.
- Move details: your move date, the addresses or areas you are moving between, the package or quantity of totes you are interested in, and anything else you type into the message field.
- Delivery and access information: gate codes, buzzer numbers, parking notes, apartment or unit numbers, and similar details you give us so we can drop off and collect totes.
- Communications: the content of your emails, texts, voicemails, and form submissions, along with our replies.
- Payment information: see Section 4. We do not store full card numbers.
Information collected automatically
When you visit our website, we and the providers listed below automatically collect:
- Your IP address and approximate location derived from it, usually at the city level.
- Your browser type, device type, operating system, and screen size.
- Pages you viewed, links you clicked, how long you stayed, and the page or advertisement that sent you to us.
- Cookies and similar identifiers placed by us and by our analytics and advertising providers.
Information from other sources
We may receive information about you from advertising platforms that report which ad you responded to, from review platforms if you leave us a review, and from anyone who refers you to us or books a rental on your behalf, such as a moving company, real estate agent, or property manager.
2. How we use your information
We use the information above to:
- Answer your questions and prepare your quote.
- Schedule, deliver, and pick up your tote rental, and manage the rental period.
- Take payment, issue refunds, and handle deposits, damage, or late return charges.
- Send you service messages about your order, including confirmations, reminders, and changes.
- Follow up on a quote you requested and, if you have opted in, send offers and news about our services.
- Understand how people find and use our website so we can improve it.
- Measure how well our advertising works and show our ads to people likely to be moving soon.
- Keep records for accounting and tax purposes, resolve disputes, prevent fraud, and comply with the law.
3. Cookies, analytics, and advertising
Our website uses cookies and similar technologies in three ways.
- Necessary cookies make the site work. They keep forms functioning and remember basic preferences. These cannot be turned off through our site.
- Analytics cookies tell us how people use the site, which pages get read, and where visitors drop off. We use Google Analytics for this. Google processes that data on our behalf and under its own terms. You can opt out of Google Analytics across all websites using Google’s browser add-on at tools.google.com/dlpage/gaoptout.
- Advertising cookies and pixels let advertising platforms recognize that you visited our site so we can measure ad performance and show our ads to you again later. This is commonly called remarketing or targeted advertising.
Most browsers let you block or delete cookies through their settings. Blocking necessary cookies may stop parts of our site from working.
Your advertising choices. You can opt out of the analytics and advertising described above at any time by emailing hello@bintheretotethat.rent with “Opt out of advertising” in the subject line, or by calling or texting (971) 402-0969. We also honor browser based universal opt out signals, including Global Privacy Control, when your browser sends one. You can adjust platform level ad settings at optout.aboutads.info and optout.networkadvertising.org.
4. Payments
Card payments are processed by a third party payment processor. Your card details go directly to that processor and are handled under its own privacy policy and security standards. We do not receive or store your full card number. We do keep a record of the amount, date, what it was for, and the last four digits of the card so we can match payments to rentals and handle refunds.
5. Text messages
If you text us or opt into our text program, we collect your phone number and the content of your messages, and we use a messaging platform to send and receive them on our behalf.
We do not share text messaging opt-in data or consent with any third party for marketing purposes, and we do not sell it. Your phone number and your consent to receive texts are used only to communicate with you. Full details, including how to opt out and message and data rates, are in our SMS Terms and Conditions.
6. How we share your information
We do not sell your personal information for money. We share it only in the situations below.
- Service providers who help us operate. These include our website host, form and email delivery providers, our customer and booking records system, our email marketing platform, our text messaging platform, and our payment processor. They may use your information only to perform services for us.
- Analytics and advertising platforms. As described in Section 3, website activity is shared with Google Analytics and with advertising platforms for measurement and remarketing. California law defines “sale” and “sharing” broadly enough that this activity can fall within those definitions even though no money changes hands, and Oregon law treats it as targeted advertising. You can opt out at any time. See Your advertising choices.
- Professional advisors. Our accountant, bookkeeper, insurer, or attorney, where needed.
- Legal reasons. When required by law, subpoena, or court order, or where we believe it is necessary to protect our rights, our property, or someone’s safety.
- Business transfer. If our business is sold, merged, or reorganized, customer records may transfer to the new owner, who would remain bound by this policy or give you notice of any change.
We do not share your information with third parties for their own independent marketing.
7. Categories of information shared
To be specific about what goes where: identifiers such as name, email, phone number, and IP address, along with commercial information such as what you rented and what you paid, and internet activity information such as pages viewed, may be disclosed to the categories of recipients listed in Section 6. Delivery access details, such as gate codes, are shared only with our own staff and drivers.
8. How long we keep your information
We keep quote requests that never became bookings for about two years, in case you come back to us. We keep completed rental and payment records for at least seven years to meet accounting and tax requirements. Text and email threads are kept for as long as they are useful for servicing your account and resolving disputes. Analytics data is kept according to the retention settings of the analytics provider. When information is no longer needed, we delete it or anonymize it.
9. How we protect your information
Our website uses encryption in transit. We limit access to customer records to the people who need it to do their jobs, and we choose service providers that maintain their own security programs. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we take it seriously and we will notify you and the appropriate authorities if a breach affecting your personal information occurs, as required by Oregon and Washington law.
10. Your privacy rights
We extend the following rights to everyone who contacts us, regardless of where you live. Depending on your state and the size of the business, some of these may also be legal requirements.
- Know and access. Ask what personal information we have collected about you, where it came from, why we collected it, and who we shared it with.
- Copy. Get a copy of the information you gave us in a portable format.
- Correct. Have inaccurate information fixed.
- Delete. Have your information deleted, subject to records we must keep for tax, accounting, or legal reasons.
- Opt out of targeted advertising, sale, and sharing. See Your advertising choices.
- Opt out of marketing messages. Unsubscribe from any marketing email, or reply STOP to any text.
- No retaliation. We will not deny you service, charge you a different price, or give you a lower quality of service for exercising any of these rights.
Oregon residents
The Oregon Consumer Privacy Act gives Oregon residents rights to access, correct, delete, and obtain a copy of their personal data, to learn which third parties have received their data, and to opt out of targeted advertising, the sale of personal data, and certain profiling. The Act applies to businesses above specific size thresholds, and we are below those thresholds, but we honor these rights anyway. If we deny a request, you may appeal by replying to our decision, and you may contact the Oregon Department of Justice.
Washington residents
Washington does not currently have a comprehensive consumer privacy law. Washington’s My Health My Data Act applies to consumer health data, which we do not collect. Washington residents may use all of the rights listed above.
California residents
The California Consumer Privacy Act, as amended, gives California residents rights to know, delete, correct, and opt out of the sale or sharing of personal information, and to limit the use of sensitive personal information. We do not collect sensitive personal information as that term is defined in the CCPA. The CCPA applies to businesses above specific revenue and volume thresholds, and we are below those thresholds, but we honor these rights anyway, including the right to opt out of sharing for cross context behavioral advertising described in Your advertising choices.
11. How to make a request
Email hello@bintheretotethat.rent, or call or text (971) 402-0969, and tell us what you want. We may need to confirm your identity, usually by matching the email address or phone number you used to contact us, before we act on a request about your information. We will respond within 45 days. If we need more time, we will tell you why. An authorized agent may make a request on your behalf with your written permission.
12. Children
Our services are for adults. We do not knowingly collect personal information from anyone under 13, and our text messaging program requires you to be 18 or older. If you believe a child has given us personal information, contact us and we will delete it.
13. Links to other sites
Our site may link to other websites, such as review platforms or moving resources. We are not responsible for their privacy practices. Read their policies before giving them your information.
14. Changes to this policy
We may update this policy as our business or the law changes. When we do, we will change the “last updated” date at the top. If the change is significant, such as a new category of information we collect or a new way we share it, we will say so clearly on this page. Continuing to use our site or our services after a change means you accept the updated policy.
